Baysville Curling Club – Meeting Minutes for September 14, 2021

Attendees: Lili Davis-Burchat, Pam & Al Bowen, Sylvain Desjardins, Cathy Hoare, Terry & Carol Kouvoumjian, Dianne Jones, Don Evans, Keith Southy, Barb Bodner, Ed Mathany

Financials

  1. Lili reviewed March 31 financial statement

  2. $15K currently in bank. With $12.5K expenses coming

    • Does not include CurlOn donations of $14-15K

      • Action: Sylvain to complete a transfer of funds

  3. Action: Sylvain will reapply for the donation status with CurlOn

Registrations

  1. 25 members registered to-date ○ 17 full, 5 half season and 3 jitney

  2. Action: Board members to contact previous members to determine whether they plan to join

    • Pamela to contact Lori and Peter, Paul and Patti

    • Cathy to contact Rhonda and Paul Duff, Doug and Ann Murray, Andre Tieman, Suzanne David

    • Carol to contact the Woods family

    • Dianne stated that Anna plans to join

    • Sylvain to call Joanne Krawczyk, Keith and Darlene Summers

    • Don will contact Chantal Hamilton and Delores Socha

Club Professional Cleaning

  1. Dianne and Carol presented the 4 quotes for deep cleaning

  2. Motion to select Busy LIzzie. All agreed

  3. Suggested that Liz clean the club on an ongoing basis. Perhaps weekly, bi-weekly or monthly and/or after a rental

    • Action: Dianne to ask Liz for an estimated # of hours for regular ongoing clean

  4. Action: Sylvain to research the cleaning protocol and circulate to the board

Bocce

  1. Don and Jan Lucy will take over the running of Bocce

  2. Fall Bocce has been well received

  3. Additional revenues are coming to the club

  4. Ed confirmed that fall Bocce members will have proof of vaccination by Sept 22

Club Maintenance

  1. Brine available on Sept 27. Don will contact the installation team

  2. Liquor licence valid until Nov 30. Action: Don pursuing an extension and a new licence

  3. Township applying for a Trillium grant to switch to Ammonia to make the Brine

    • We will provide a letter of support. Action: Lily will speak with Scott.

New rules of play due to Covid19

  1. First session of each draw will be a practice play. Will include cleaning requirements

  2. Two parked actions

    • Need to set up a schedule to ask covid screening questions

    • Need to have observers watch play to ensure its being done correctly

  3. Masks will be required anywhere in the club and optional on the ice

Issues

  1. Should we allow rentals from non-club members

    • Yes

      • Add a cleaning fee to the rental fee

        • Action: Dianne to get a quote from LIz

      • We must include proof of vaccination for anyone entering club for a rental to rental agreement

      • We should update our website to note that we are supporting non-members curling in the club

  2. Are we offering food and bar services?

    • Parked until next meeting

  3. Need a cleaning supply list

Fundraising

  1. Dianne and Cathy reviewed current fundraising ideas

  2. Dianne made a motion to support approaching Gravenhurst and Huntsville for reciprocal agreement between clubs to play in one league at a cost of $100. Board approved
