Baysville Curling Club – Meeting Minutes for May 12, 2021

Fundraising:
Cathy Hoare reported that the recent Surf & Turf sale and online silent auction raised about $3750. However, all expenses are not yet fully accounted for, so an accurate net income will be reported later.
She also said that some other fund raisers were in the works.
And Don Evans later said he was checking on whether the Iron Man triathlon was going to be held this year at the end of August. (Members volunteer for this event, which usually raises $1000 for the Club.)
Everyone was most appreciative of all the success the Fundraising Committee has had in raising funds for the club.Finances
Lili Davis-Burchat reported that we have $6000. in the bank, but see above re expenses for the S & T. Also our 3rd installment of property taxes are due this month of ~$2300.Bocce
Alan Bowen introduced Barb Bodner to the board as Director-at-Large for Bocce.
Carol Kouyoumjian reviewed the Covid guidance for playing bocce after July 16th —the date Ontario enters Step 3. Barb stated that a small group was going to clean the bocce courts on July 15th. Barb will contact her members (36 people) and advise them of same with play commencing July 22nd.
Several administrative matters relating to bocce were discussed. Alan recommended membership fees of $30 to Barb with $20 going to the Bocce Club and $10 going to the BCBC budget, with all monies to be accounted for in separate lines in the BCBC budget. Also it was agreed that the ~$2000. currently in the bocce coffers will continue to be controlled by the bocce members for their expenses. Barb will discuss this with the bocce members present on the 15th and report back to the Board.Budget
Alan reviewed the expenses of the 2019–20 season (our last full curling season) and established a baseline target for expenses for a year to be ~5,000 ($45,000 + a reserve of ~$5000) o. With income from bonspiels, rentals, the bar, sponsors, donations through Ontario Sport, and membership fees (see #5.), the club could have income of ~$30,000. This leaves a shortfall of ~$20,000.
Suggestions were made as to how to generate income —additional fundraising, membership drives, additional fees for curling members unable to contribute volunteer time to support the club, increasing fees for members playing in multiple leagues, grants, a mortgage or line-of-credit on the property, deferring property taxes with the township.
Alan will explore some of these options and the Fundraising Committee will continue their work, and these explorations will be reported back to the Board asap. The aim is keep membership fees as low as possible.Membership Fees

Alan said Pamela Bowen had determined a conservative estimate of ~50 full-time curlers returning for the 2021-22 season, and he asked each board member to weigh in on what they thought full-time curling membership fees should be. During discussion, some members of the Board stated a concern that we charge no more than $350 for full time curling per person per season: others were prepared to see that amount increase to $400. Whatever the increase in fees is will have to be accompanied by an explanation to the membership.
An intensive membership drive will need to begin in August in order to cover our opening costs, so a firm decision will be made by the Board asap as we gather the information needed.
