Baysville Curling Club Board Meeting December 11th

Financials

  • Renewed GIC’s for another 3 months

  • Insurance has been paid

  • Coolant bill is due this month. Ed has sent Scott an email asking for an invoice

  • Bonspiel sponsorships have been moved into the bonspiel accounts. Budget will also be shifted into that section

ONCA pre-work for Jan meeting

  • Reviewed issues document that Bill prepared (Attachment 1)

  • Each Board member will create their own proposed organization design and send out prior to Jan 1, 2024.

  • Discuss in Jan 8 meeting

  • Finalize in Feb 5 meeting

  • Target having final constitution and by-laws to members 30 days before April AGM

  • Need a lawyer for the formal filings

    • Ed will ask other Muskoka curling clubs who they have used

    • We will budget $3K-$5K

Potential club name change

  • ONCA requires us to bring our government documents up to date. This include providing our formal name

  • There was a positive vote taken in 2021 to change the name from Baysville Curling Club to Baysville Curling and Bocce Club. This name was never formally filed.

  • The other name under consideration is Lake Of Bays Curling and Bocce Club.

  • Will put an article in the newsletter asking members to share their feedback with the Board. Jim and Bill will create the article

Review Operational and Capital requirements

  • Sargeant inspected our on-ice heaters and determined that one needed to be fixed. They red tagged it

    • They can't get parts to fix. Heaters are 20+ years old. Too old to fix

    • Will provide a quote to replace

  • Ed created a document with our assets and placed into categories (Attachment 2)

    • Legend

      • Operating expense - anything under $1K

      • Short term capital - $1k-$5K

      • Long term capital - $5K+

    • A few items need to be added

      • Additional venting for the dehumidifier

      • Repair wall around dehumidifier

      • Muffle the dehumidifier (to address neighbour noise complaint)

    • Budget

      • $5K for kitchen is in the budget

      • Board agreed to spend an additional $15K for the following:

  • Ice heater replacement

  • Close in dehumidifier wall

  • Dehumidifier venting and muffler

  • Hire inmates for painting before changing the flooring

  • Flooring replacement

    • Lounge, kitchen and bar (first floor)

    • Approach sponsors and Peter’s brother (providing the arena flooring) for pricing for flooring and installation

    • Consider bar and kitchen as well

    • Ask a member to be a project coordinator for painting and flooring

      • Cathy and Jim will lead the team

      • Team would consist of a member who is a contractor (Bruce?) as well as 3 or 4 general volunteers

    • Timing

      • April 2024

2024 Surf and Turf

  • Cathy V plans to step down as the team leader in 2025

    • Need a succession plan

  • Ed will ask Cathy to make a successor recommendation to the Board

  • Jim and Joan will not be participating on the 2024 committee

  • Dianne, Ed and Cathy will continue to participate.

    • Dianne will not be representing the Board as she will be stepping down as secretary

Port Cunnington named sponsor for year end Funspiel

  • Dianne to ask Michael to lead the Port Cunning Lodge Funspiel

Other

  • Lack of volunteers to clean the club

    • Kristy McLean will complete a trial run and provide a quote based on the hours it takes. She charges $30/hr

    • Dianne to send Bill Liz Anderson’s contact info so we can get a quote from her as well

  • Michael Davis-Burchat has offered to create short videos as a marketing tools for social media/website, etc.to promote the club. He will be creating a proposal for the Board to review
